Users and Roles – Plan Sharing

What is plan sharing?

Plan sharing allows you to use a single paid plan across multiple user accounts. It is especially useful for teams or larger fleets where different people manage different groups of vehicles.

For example, multiple fleet managers can access the same plan but only work with the vehicles assigned to them.

Important limitation

Vehicles shared through plan sharing are visible only in the web application. They do not appear in the mobile apps of shared users.

How to access plan sharing

You can open plan sharing settings in two ways:
1. Click your name in the top-right corner and select Business plan under your email
2. Or go to My plans, then open your active plan and select Show plan details

Once inside:

  • Scroll down
  • Open the Plan Sharing tab
  • Add new users or manage existing ones

User roles and permissions

When adding users, you can assign one of the following roles:

Administrator (ADMIN)

  • Has access to all vehicles in the plan
  • Can manage and edit the vehicle list
  • Full control over plan-level data

Fleet Manager (MANAGER)

  • Access is limited to assigned vehicles only
  • Full management rights for those vehicles
  • Can be restricted to a specific fleet size or subset of vehicles
  • Best suited for team leads, regional managers, or delegated fleet responsibility

User (USER)

  • Sees only assigned vehicles
  • Has view-only access
  • Cannot edit any data

Adding users

If you invite someone who does not yet have a MyCarTracks account:

  • They need to sign up using the same email address
  • This can be done before or after you add them to the plan

Availability

Plan sharing is available only with the Business plan (previously called Fleet Professional).
